  1. Phase 1

    Kick-off meeting

    We meet your management and key users to understand your business, goals and expectations, and agree on the project scope, team and communication plan.

    • Introduce both project teams and assign a project manager on each side
    • Review business goals, pain points and success criteria
    • Agree on scope, timeline, meeting schedule and escalation path

    Your role

    Nominate a project owner and key users from each department.

  2. Phase 2

    Requirements and prerequisites

    Through department workshops and site visits, we document how you work today and collect everything needed to start: data, documents, infrastructure and access.

    • Workshops with finance, sales, purchasing, warehouse, HR and other departments
    • Collect sample documents, reports, forms and approval cycles
    • Identify prerequisites: licenses, hosting or servers, users, devices and integrations

    Share your current processes, sample data and documents.

  3. Phase 3

    Gap analysis

    We compare your requirements with the standard features of Odoo or Oracle NetSuite to decide what is covered by configuration and what needs development.

    • Classify every requirement as standard, configuration or customization
    • Recommend best-practice process improvements where the standard fits better
    • Estimate effort and prioritize must-have and nice-to-have items

    Review the findings and confirm priorities.

  4. Phase 4

    Product Requirements Document (PRD)

    We send you a detailed PRD that describes the future processes, configuration, customizations, integrations, reports and data migration plan. Work starts only after your written approval.

    • Future process flows for each department
    • Detailed specification of every customization, report and integration
    • Final timeline, milestones and acceptance criteria

    Review, request changes and sign off.

  5. Phase 5

    Implementation and development

    Our consultants configure the system while our developers build the approved customizations and integrations in short sprints, with regular demos so you see progress early.

    • System setup: companies, chart of accounts, taxes, ZATCA e-invoicing, users and access rights
    • Development of custom modules, reports, dashboards and integrations
    • Data migration of master data, opening balances and open transactions
    • Sprint demos and regular progress reports

    Attend the demos and give timely feedback.

  6. Phase 6

    User Acceptance Testing (UAT)

    We send you UAT scenarios that cover your real daily operations. Your key users test the system with real data, we fix any issues, and you sign off when everything works as agreed in the PRD.

    • Issue log with priorities and quick fixes
    • Final retest and UAT sign-off

    Key users run the tests and report results.

  7. Phase 7

    User training

    We train every user on the screens and tasks they will use, in Arabic or English, on-site or remotely, so your team is confident before go-live.

    • Role-based sessions for end users, managers and administrators
    • Train-the-trainer program for key users
    • User guides and recorded videos

  8. Phase 8

    Go-live and production

    We plan the cut-over, move the final balances, switch to the production environment and stay close to your team during the first weeks of live operation.
